Role Purpose:

The purpose of this role is to ensure effective and efficient delivery of Exams within a location. To make sure venues are appropriately stocked with the technical and non-technical materials to run the test day in accordance with compliance standards, and that systems are in place to make sure the correct staff and materials (confidential and non-confidential) reach and return from the venue. The role holder will be the point of contact for Venues/Venue Supervisors on the day. This role will be required to work exam days which will involve weekend work as part of the contracted hours. The role holder will also provide support for venue staff management using appropriate internal systems and technology.

Main Accountabilities:

Product Service Support

  • Ensure that exam venues throughout Bangladesh meet or surpass British Council QCA standards under the guidance of the Test Day Manager.
  • Manage the transportation and provision of all technical and non-technical equipment needed for test days, including signage, banners, EDM, EVM, microphones, sensors, and technology for computer-delivered tests (e.g., IELTS, ACCA, APTIS).
  • Securely dispatch exam materials to Test Centres and ensure proper storage.
  • Support Test Day Manager in the selection of venue staff.
  • Coordinate venue staff availability and deployment using technology like BOSS and other tools.
  • Assist in payment processes for venue staff, collaborating with finance through BOSS and AVSP.
  • Collect performance data of staff on Test Day for review by Test Day Manager.
  • Gather data for any investigations arising from Test Day activities.
  • Organize and manage transportation to and from all venues.

Customer Support

  • Address customer inquiries via direct communication or Customer Services channels.
  • Offer specialized assistance for queries related to CB exams, APTIS, or the management of specific venues.
  • Identify and redirect complex issues that require higher-level resolution.
  • Alert team leaders to concerns impacting service delivery or customer experience.

Relationship & Stakeholder Management

  • Cultivate strong working relationships with Venue Staff, Venue suppliers, equipment suppliers, and colleagues within the British Council.
  • Act as a point of contact and manage escalated issues from Venue Supervisors and venues.

Risk and Compliance

  • Identify potential risks during Test Day activities and escalate unresolved issues to the Test Day Manager or relevant personnel.
  • Ensure adherence to the Child Protection Action Plan and Policy at all venues.
  • Follow established corporate risk management protocols when delivering services.
  • Raise awareness within the country team about the significance of maintaining high venue standards.
  • Organize venue staff payments in line with British Council financial standards, ensuring payments are made within two months of activity completion.

Analysis & Reporting

  • Utilize technology like BOSS, CiCo, and SAP for data analysis.
  • Develop supplementary tools, such as spreadsheets, to enhance Test Day processes.

Finance & Resource Management

  • Oversee courier performance according to SLAs and foster relationships with venue and exam day service providers.
  • Monitor and manage resources in line with established procedures, ensuring equipment and materials are ready for use when needed.

Managing Self & Others

  • Plan and prioritize work activities spanning diverse workstreams.
  • Coordinate and oversee colleagues or external partners to ensure timely and efficient service delivery.
  • Monitor task completion to meet agreed quality and time standards.

Role-Specific Knowledge and Skills:

Minimum/Essential

  • Experience in identifying and mitigating risk.
  • Minimum graduation in any subject.
  • Familiarity with compliance environments.
  • Work experience in high-volume operational settings, meeting established standards.
  • Some exposure to environments involving individuals under 18, particularly as customers.

Desirable

  • Experience supporting the delivery of computer-based exams.

Pay Band – Grade H / Pay band 4
Contract Type – Indefinite Contract – local.

Location – Dhaka,Bangladesh
